01Who we are and who to contact

StarHaus Décor ("we", "us") is an event decor studio serving Edmonton and area. This policy explains how we handle personal information collected through starhausdecor.com, through our booking form, and when you contact us by email, phone, text, WhatsApp or social media.

We follow Alberta's Personal Information Protection Act (PIPA), and the principles of the federal Personal Information Protection and Electronic Documents Act (PIPEDA), which applies when personal information crosses provincial or national borders.

Our Privacy Officer

Our Privacy Officer is responsible for how we handle personal information. They answer questions about this policy, including questions about our service providers outside Canada, and they handle requests to access or correct your information.

02What we collect

Information you give us

• Booking form: your name, email address, phone number and best way to reach you; your event type, venue name or city, event date (or the month you're planning for), start time, guest count and whether it's indoors or outdoors; the decor you're interested in, your decor budget range and details about your event; a Pinterest or Instagram link if you share one; how you heard about us and who referred you; and whether you'd like marketing emails.
• Inspiration photos: up to five images you choose to upload. Photos may show people, such as you, your family or guests at other events, and sometimes places such as a venue or a home. Please send only photos you're comfortable sharing and have the right to share.
• Messages: anything you tell us by email, phone, text, WhatsApp or social media message.
• Booking records: if you book with us, your agreement, billing name and contact details, invoices, payment records, venue contact and access details, and notes about your design.

Information collected automatically

• Website analytics: we use Google Analytics to see how visitors find and use our website, for example which pages are viewed, roughly where visitors are (city level), what device and browser they use, which website or ad brought them here, and when a booking request is sent. Google Analytics uses cookies and similar technology to do this. We don't send your name, email, phone number or booking details to Google Analytics, and we use the reports only in summary form to improve our website and advertising.
• Server logs: when you visit our website, our host, Netlify, automatically processes your IP address, browser and device type, the pages you request, the date and time, and the page that referred you. This is used to deliver the website, keep it secure and fix errors.
• Fonts: your browser loads our typefaces from Google Fonts, which receives your IP address and browser details in order to deliver them.
• Spam check: our booking form uses Google reCAPTCHA, provided through Netlify, which collects information about your device and how you use the page to tell real people from automated spam.
• Session storage: after you send the booking form, your browser keeps your first name, event date and email address in its session storage so our thank-you page can greet you. This stays on your device and is cleared when you close the tab.

What we don't collect

We don't ask for your Social Insurance Number, government ID or date of birth, and we don't keep full payment card numbers. Our services are for adults planning events, and we don't knowingly collect personal information from children, other than what may appear in photos you choose to send us.

03How we use it

We use personal information only for these purposes:

• To reply to your request, check our availability and prepare your quote and design ideas.
• To plan, design and deliver your event, including your mockup and coordinating setup with your venue.
• To prepare your agreement, invoices and receipts, and to keep the business and tax records the law requires.
• To follow up after your event and, if you're willing, to ask for a review.
• To send marketing emails, only if you've opted in.
• To keep our website and booking form secure and to filter spam.
• To meet our legal obligations.

We don't sell, rent or trade your personal information, and we don't use it for profiling or automated decision-making. If we ever want to use your information for a new purpose, we'll ask you first.

04Your consent

When you send our booking form or contact us, you consent to us using your information for the purposes above that relate to your request. We ask only for what we need to respond and plan your event, and you never have to agree to marketing emails to get a quote or book with us.

You can withdraw your consent at any time by emailing info@starhausdecor.com. We'll explain any effect this has, for example that we can't plan your event without a way to contact you, and we'll keep only the records the law requires us to keep.

05Who we share it with

We use a small number of service providers to run our website and business. They handle personal information only to provide their services to us, under their own privacy and security terms.

We also share information in these limited cases:

• Your venue, planner or other vendors, only as needed to coordinate your event, for example your name, event date and our setup time.
• Payment processors, if you pay by credit or debit card. They handle your card details under their own privacy policies.
• Professional advisers, such as our accountant, lawyer or insurer, who are bound by confidentiality.
• When the law requires it, for example in response to a valid court order.

06Storage outside Canada

Some of the service providers listed above collect, store or process personal information for us in the United States. While it's there, it's subject to the laws of that country and may be accessed by courts, law enforcement or national security authorities there.

07How long we keep it

We keep personal information only as long as we need it for the purposes above, or as long as the law requires.

When the time is up, we delete the information from our email, our Netlify form dashboard and our devices, and we shred any paper copies.

08How we protect it

We take reasonable steps to protect your information against loss, theft and unauthorized access:

• Our website and booking form are encrypted with HTTPS.
• Only StarHaus Décor team members who need your information to plan your event can access it.
• Our business accounts are protected with strong, unique passwords and two-step verification.
• The devices we use for business are locked with a passcode.
• We never ask for card numbers by email, text or social media message.
• We delete information on the schedule above, so we don't hold more than we need.

No method of sending or storing information is completely secure, but we work to keep the risk as low as we reasonably can.

09If there's a privacy breach

If personal information in our control is lost, or accessed or disclosed without authorization, and there's a real risk of significant harm to you, we'll notify the Office of the Information and Privacy Commissioner of Alberta without unreasonable delay. We'll also notify you directly, explaining what happened, what information was involved, what we've done about it and what you can do to protect yourself.

10Access, correction and complaints

• Access: you can ask what personal information we hold about you, how we've used it and who we've shared it with. We'll respond within 45 days, as PIPA requires. If the law allows us more time in a particular case, we'll tell you why and when to expect our answer.
• Correction: you can ask us to correct information that's wrong or incomplete.
• Deletion: you can ask us to delete information we aren't required by law to keep.

To make a request, email info@starhausdecor.com. We may ask you to confirm your identity before we share or change anything. There's no charge for most requests; if a request would involve significant cost, we'll give you an estimate first.

If you have a concern about how we've handled your information, please contact us first so we can try to put it right. If you're not satisfied with our response, you can contact Alberta's Information and Privacy Commissioner.

11Marketing emails

We follow Canada's Anti-Spam Legislation (CASL):

• We send marketing emails, such as decor ideas, seasonal offers and date availability, only if you opt in. The checkbox on our booking form is optional and never pre-ticked.
• Replies to your inquiry, your quote and messages about your booking aren't marketing. You'll receive those whether or not you opt in.
• Every marketing email identifies StarHaus Décor, includes our mailing address and contact details, and has an unsubscribe link.
• You can unsubscribe at any time using that link or by emailing info@starhausdecor.com. We process unsubscribe requests within 10 business days.
• We never buy email lists, and we never share your email address with other businesses for their marketing.

12Photos of our setups

We like to photograph our finished setups, usually before guests arrive, for our portfolio, website and social media. We photograph the decor, not your guests, and we won't publish a photo in which a guest can be identified without permission. The inspiration photos you send us are never published.

To opt out, tick the box in your booking agreement or email info@starhausdecor.com at any time, even after your event. We'll remove photos of your event from our website and our own social media accounts within 10 business days. We can't remove copies that other people have shared, but we'll let you know where we've posted them.

13Cookies and tracking

• Google Analytics sets cookies to measure visits and to tell us when a booking request is sent. It doesn't receive your name, contact details or booking details. You can opt out by installing Google's Analytics opt-out browser add-on, by blocking cookies in your browser settings, or by using your browser's private mode. Learn how Google uses information from sites that use its services.
• No advertising or social media tracking cookies are placed by our website.
• Google Fonts doesn't set cookies when it delivers our typefaces.
• Google reCAPTCHA runs on our booking form only. It may set cookies and collect device information to check that you're a person. Google's Privacy Policy and Terms of Service apply.
• Session storage is used only after you send the booking form, as described above, and is cleared when you close the tab.
• Links to other sites, such as our Instagram, Facebook and TikTok pages and WhatsApp, take you to services with their own privacy policies and cookies. Nothing from those services loads on our pages unless you follow the link.

If we add other analytics or advertising tools, we'll update this policy before we do, and ask for your consent where the law requires it.

We'll post any changes on this page and update the date below. If a change affects how we use information you've already given us, we'll tell you before it takes effect.
